Export Transaction View data to Excel or CSV

Use the Drill Down area in Transaction View to extract transaction lines for one or more pay sequences in a format that can be opened in Excel. You can also load transactions for all employees when the Drill Down area is active.

Before you start

Open Transaction View and select the pay sequence or sequences you want to review.

Export transaction details

  1. Open Transaction View.

  2. Select the pay sequence or sequences to include, then select OK.

  3. Make sure the lower Drill Down area is visible.

    • If it is not visible, select View > Drill Down.

  4. Click in the Drill Down area and switch to Sequences View so the lower section displays the transaction lines for the selected pay sequence or sequences.

  5. To include transaction lines for every employee, click inside the Drill Down area, then select View > Drill Down View > Load All Employees.

  6. If required, press F10 to customise the columns before exporting.

    • When loading all employees, consider adding a Name column so each transaction line can be matched to an employee.

  7. With the Drill Down area still active, select Data > Save As, then choose Excel or CSV.

  8. Enter the file name and save location, then select Save.

By default, the file is saved to the company data Temp folder unless you choose another location.

Copy the results directly into Excel

  1. Click inside the Drill Down area.

  2. Select Data > Send To... > Send To Clipboard.

  3. Paste the copied transaction lines into Excel.

The exported or copied data is a raw extract of the transaction lines shown in the Drill Down view. It can be used for further analysis, including pay variance checking.

If “Load All Employees” is not available

The Load All Employees option is part of the Drill Down view. Before looking for the option:

  • Make sure the lower Drill Down area is visible.

  • Click inside the lower Drill Down area so it is the active section.

  • Confirm that you are working in the Drill Down view, then select View > Drill Down View > Load All Employees.

If the lower area is not active, the option may not be available where you expect it.

Automating the extract

If you need this information extracted automatically at regular intervals, a MYOB consultant can create a custom SSRS report and a corresponding subscription. This work is likely to be chargeable.
