Payroll Handover Checklist

When a current team member leaves and/or a new person joins the organisation and is using PayGlobal, we have identified several topics that will assist in providing a smooth transition of responsibilities and assist with their onboarding.

This information is designed to be generic advice and to support your current onboarding and hand over process. Please review these in line with current processes and responsibilities to confirm if the topics are relevant for your organisation.

Access to PayGlobal application.

A PayGlobal application User Profile is required to access PayGlobal. This access is provisioned by your internal team.

Access to PayGlobal Online.

For databases hosted online with MYOB PayGlobal, please raise a ticket with the support team to get their access provisioned.

Access to SSRS reports.

For databases hosted online with MYOB PayGlobal, please raise a ticket with the support team to have this access provisioned. If you are on premise, please raise the query internally.

ESS Admin Roles assigned.

For companies using ESS, furnish the new user’s employee record with all the required Admin Roles they will need (e.g. Timesheet Admin, Leave Admin). This is a good opportunity to show them how it is done.

Add the new Payroll user as an authorised contact.

If the new employee needs to raise queries with PayGlobal Support, a ticket will need to be raised with by you with support. Please request we add the new employee as an authorised contact.

Add required permissions for STP and Payday Filing.

For AU: ATO internal company permissions on User Profile.
For NZ: IRD permissions granted on MyIRD company login

Introduction to key MYOB contacts (e.g. Account Manager)

If the person leaving interacts with a MYOB Account Manager, please make sure appropriate hand over is completed and the Account Manager knows who is the key point of contact going forward.

Update destination email address on scheduled PayGlobal reports and SSRS subscriptions

If the person leaving receives automated reports to their personal email instead of a generic email address that the new user has access to? List all the emails and update the destination email address on all the reports. Check them off as you and contact support if you are unable to find one to update.

Introduction to PayGlobal self-help content

PayGlobal has some great resources that any user can engage with, these help provide insight into the options on the page, (e.g. F1 gives contextual help) or more general help and processes (PayGlobal help centre)

Intro Training with support.

Monthly, the support team completes an online training session, which any user can register for. This covers navigation, tips and tricks along with some other basics of the PayGlobal product. Any user can register

Share current payroll/HR processes

Each organisation deploys PayGlobal slightly different, with different modules as per their requirements. It is both good practise and strongly recommended the processes are documented and shared with those completing your payroll processes as this helps provide consistency and continuity.

These tasks could include, end to end payroll process, reports, system integrations and the frequency of each task, after each pay, monthly, quarterly or annually. E.g. updating employee rates and awards.

Do other departments (HR, Finance) request data on at a certain time of the year? Let the new user know what reports you run and/or the method used to extract the data. Document this process.

Training on all payroll/HR processes.

Along side providing the documented processes, training is also recommended. This helps re-enforces the processes and steps the user through the payroll process they are expected to complete.

Not to mention this is a great way to confirm your documentation is current.

List of jobs/tasks that a consultant is engaged for annually.

Let the new payroll user know if you engage a consultant to complete required tasks/functions that come up once a year. E.g. End of year tax upgrades, updating employee rates, etc.

Outstanding issues or problems documented with current alternate solutions.

Let the new user know if there is any outstanding issues that you are working around. Please also let PayGlobal Support know if you are waiting on the PayGlobal Development team so that they can update the contact on the issue and notify the new payroll user when the issue is resolved in a future release.
