Applying user-definable shift leave (New Zealand)

MYOB Exo Payroll is already setup with Holiday Pay, Sick Pay, Bereavement Leave, Alternative Leave, Long Service Leave, Public Holidays and Unpaid Leave. However, if another form of leave is required then MYOB Exo Payroll New Zealand version provides an option to set this up.

As the Shift Leave is a global Leave Type, when it is activated all employees will have this available in the Sick and Other Leave tab of their Employee Maintenance.

Applying to individual Employee record

In the Sick and Other Leave tab of Employee Maintenance, the Shift Leave is now available to use as follows:

Once Shift Leave has been selected the screen will show the following fields for the current employee.

  • Entitlement days - This field represents the number of hours or days an employee is entitled to each anniversary
  • Entitlement date - This is the date when the employee will get their next entitlement.
  • Days accrued - Days or Hours accrued since the last Entitlement Date.
  • Days outstanding from previous entitlements - Days or Hours that have yet to be taken from previous years entitlements.
  • Total days entitlement - Balance that the employee has available to use.
  • Shift Leave cost centre - Will use the employee's default cost centre unless a global Cost Centre was specified in the Other Leave Setup screen. If a different Cost Centre is to be used for the employee then enter that Cost Centre in this field.
  • This year entitlement changes - This button opens a screen that contains the rules specific to the current employee.

Setting up the rules for shift leave specific to the current employee

Selecting the "This year entitlement changes" button opens a screen where the entitlements are setup specific to the current employee.

This screen has 'From' and 'Entitlement Days' (or 'Entitlement Hours') fields and automatically has a line with START in the From column and 0.00 in the Entitlement Days (or Entitlement Hours) column.

START = Employee's Start Date or next anniversary of the Employee's Start Date.

If the Shift Leave Entitlement is to start from the Employee's Start Date (or the last anniversary of the Employee's Start date) then this line can be edited with an Entitlement. This will then accrue from that date for the current year.

If the Shift Leave Entitlement is to start from a specific date then select Add (F4), enter in the date this is to start accruing from in the From field, enter the days (or hours) the employee is to accrue in the Entitlement Days (or Entitlement Hours) Field then Save this once the details entered are what is required. Below is an example of how the screen will appear:

If it is required to delete a line at any time, this can be done by clicking on the added line then selecting Delete. The Start line cannot be deleted and can only be edited.
