"This Year Accrued To" date affecting holiday accrual in EXO Payroll (New Zealand)

MYOB Exo Payroll has several different ways for Holiday Pay leave accrual that can be used depending on employees situations:

  • Standard Annual Entitlements
  • Permanent Part Time Method
  • Percentage Entitlement Only
  • Paying Casual Holiday Pay each Pay Period

The impact of the "This Year Accrued To" date field will depend on which option is being used.

When a Current Pay is updated then the "This Year Accrued To" date field is updated to the next Current Pay's "Pay Period End Date". This is so that when that next Current Pay is being processed then the Holiday Pay figures reflect what the employee has available at that time. When a One Off Pay is processed the "This Year Accrued To" date is not changed as One Off Pays can be used for situations outside of the normal pay processing, such as correcting historical pays.

Standard Annual Entitlements

Standard Annual Entitlements is when an employee is getting a specific number of Days/Hours for their annual entitlement. This entitlement is based on the number of weeks of entitlement the employee is to get and the number of days they work in a week.

Examples:

  • An employee is getting 4 weeks of holiday entitlement and they work 5 days each week so they would get 20 days.
  • An employee that is getting 5 weeks of holiday entitlement and works 3 days each week would get 15 days.

Throughout the holiday year, each time a Current Pay is updated the "This Year Accrued To" date moves to the next Current Pay date. When this happens then the employee's Accrued leave will increase by a portion of the Annual Entitlement figure and the Accrued figure reflects the amount for the period between the employees "Holiday Anniversary Date" and the "This Year Accrued To" date.

As the "This Year Accrued To" date shows the "Pay Period End Date" of the next Current Pay to be processed, the Accrued figure reflects what the employee has available at the time of that next Current Pay.

Permanent Part Time Method

The Permanent Part Time Method is a pro-rata accrual method. An employee that has had this method selected accrues entitlement based on the Days/Hours Paid figures that are processed in the pays.

The Accrued column updates the accrued figures once the pay being processed has been updated and only shows an accrual figure up to the last pay processed.

The "This Year Accrued To" date shows the "Pay Period End Date" of the next Current Pay which reflects what accrued figure the employee has available at the time of that Current Pay, even though the accrued figure is up to the last pay processed.

Percentage Entitlement Only method

This method accrues a $ figure based on what has been paid in the pays that have been processed. Once a pay is updated then the Amount field in the Accrued column will update with a percentage of the pay processed.

When the Current Pay is updated then the "This Year Accrued To" date updates to the "Pay Period End Date" of the next Current Pay to be processed to reflect that. At the time of that next Current Pay, the Accrued figure is what the employee has available.

Paying Casual Holiday Pay each Pay Period

There is no accrual of holiday entitlement as the employee is to be paid their holidays whenever a pay is processed. This method is generally used for Casual employees.

The holiday pay is automatically calculated and paid in each pay processed for the employee. Because the "holidays" are paid each pay and there is nothing being accrued then the "This Year Accrued To" date is left blank.
