Incorrect hours being paid for public holidays in EXO Time and Attendance (New Zealand)

As per the Holidays Act 2003, an employee who works on a Public Holiday is to be paid Time and a Half for the hours worked on that day. If the Public Holiday falls on a day that would otherwise be a working day for the employee then they will also accrue an Alternative Leave day.

In MYOB Exo Time and Attendance, processing for Public Holidays is dealt with through Daily Rules, Exceptions, Statutory Holiday Groups and whether an employee swipes on the day or not.

On a Public Holiday, depending on the employee swiping in or not, MYOB Exo Time and Attendance applies the appropriate rule as specified in the Statutory Holiday Group settings. When an employee swipes in on a Public Holiday the "Worked" rule is applied so that the employee should be paid Time and a Half for the hours worked on that day.

If it is found that the hours for working on a Public Holiday are not being paid at Time and a Half as expected, this could be due to several causes such as:

  • The Statutory Holiday Group is using the wrong Daily Rule
  • The setup of the Daily Rule being applied to the Public Holiday
  • The setup of the Exception being used by the Daily Rule
  • How the Weekly Group has been setup for the paying of the hours for the period

When the hours for working on a Public Holiday are not being paid as expected, check the following:

Statutory Holiday Groups

  • Confirm that the correct Statutory Holiday Group has been assigned to the employee in the "Employees" screen
  • Check that the Statutory Holiday Groups have the correct Public Holiday's appearing in the Selected column
  • Determine that the Statutory Holiday Groups are using the correct Daily Rules for the employees using that Group

Daily Rules/Exceptions

  • Check that the Exception assigned to the Daily Rules being used by the Statutory Holiday Groups are the correct ones
  • Ensure that the correct figures are entered in the Daily Maximum Hours fields in the Daily Rules being used

Weekly Groups

  • Check the setup of the Weekly Groups

Depending on their setup, Weekly Groups can determine the pay rates and the hours assigned to those pay rates for paying an employee. A Weekly Group that has been setup to pay an employee 40 hours of Ordinary then 5 hours of Time and a Half with any remaining hours to be paid at Double Time, will override the hours worked by an employee and being calculated by the Daily Rule for working on a Public Holiday.

Rate Type Setup

  • Ensure the Rate Types appearing in the MYOB Exo Time and Attendance Setup screen have been setup with the correct numeric codes corresponding to the Pay Rates and Hourly Rates that have been setup in MYOB Exo Payroll.
