"Employee is terminated" message when adding an employee in a one-off pay (New Zealand)

MYOB Exo Payroll is able to process pays of different frequencies such as Weekly or Fortnightly and these different pay frequencies can be processed simultaneously.

Employees are assigned a pay frequency that represents how often they are paid.

Current Pays are used to pay employees each pay period, such as Weekly or Fortnightly. If a pay is to be processed that is outside of the normal pay frequency for an employee then a One Off Pay can be used. One Off Pays allow for all employees or only selected employees to be processed in the pay.

When adding an employee to an open One Off Pay, after clicking on the Calculate Pay button and having selected the desired employee, a message such as "Employee is terminated" may appear. This message occurs because the employee is setup with a different pay frequency than the One Off Pay has been created for, i.e. employee has the Pay Frequency of Fortnightly but the One Off Pay was created for the Weekly frequency.

The following can guide through checking the settings in the software and making any corrections as required.

To check the settings of a one-off pay
  1. Check the Pay Frequency field in the Employee Details tab of Employee Maintenance to confirm which frequency the employee has been set to.

  2. Check the Pay Period field in the One-Off Pay screen to determine which frequency the One-Off Pay has been set to.

  3. Run a paysheet report for the open One Off Pay to determine who is being paid and what amounts they are receiving in this pay.
    • If this pay is to be kept then complete the One Off Pay - print reports, create the direct credit file then finish the One Off Pay.
    • If this pay is not to be kept then delete the One Off Pay - click on the Delete One-Off Pay button.
  4. Once the One Off Pay has been dealt with as above, create a new One Off Pay with the Pay Frequency appropriate to the employee that is to be paid. When the One Off Pay has been created then the employee can be added and the pay processed as normal.
