"Backup file could not be created" message

Backups take a 'snapshot' of the company data whenever they are run. When running a backup, the files are created in the location specified at the time of doing the backup.

When trying to create a backup in Payroll, sometimes the message 'Backup file could not be created' occurs. This message can occur when trying to update a Current Pay or a One Off Pay, importing times, running a File Reindex or anything that requires a backup to take place.

The message appears as follows:

When this message occurs the only option is to click the 'OK' button.

The main reason this message occurs is that the location where the backup is trying to create to is unable to be accessed. This could be because the user trying to create the backup does not have the correct permissions to save to the location specified as shown below:

When this message occurs the best options are to check the specified location, making sure that it exists, then either change this location to see if the file can be created or get IT to ensure that the correct permissions are setup for the user to save to this location.
