Archiving existing companies

The Login screen lists available Payroll Companies.

Some might be old, and no longer used, except for occasional reporting requirements. They can still count towards licence renewal costs, and could be opened and edited by mistake.

"Archiving" hides them from normal view and removes from licence calculations.

Over time the software may have 'companies' added to the Login screen due to changes and the 'old' companies have been left in the Login screen, even though they are no longer being used. These 'old' companies clutter up the Login screen and can impact on the Registration details as the software will treat them as 'Live' companies for registration purposes.

To Archive, start by logging on to the required company, select the File menu and click the "Archive Company" option.

When an 'Archive' company has been created, the Login screen will have a 'Display' field under the list of companies for selecting which type of companies are to appear in the list, i.e. 'Live and Demo Companies', 'Archived Companies Only', 'All Companies', etc.

An 'Archived' company has limited functionality, such as not being able to add new employees or process pays, so that the historical data is not changed in that company.

If an 'Archived' company is to be reinstated then the "Unarchive Company" option in the File menu of the 'Archived' company is to be used.
