Annual leave not calculating (Australia)

In MYOB Exo Payroll you can set up employees so that they automatically accrue leave as pays are updated. The leave should accrue based on the employee's actual hours of work.

This article shows what to do if it is found that an employee's Annual Leave is not accruing or did not accrue for a historic pay.

Why annual leave isn't calculating

  • Check the employee's Leave Entitlements screen to confirm that the Annual Leave Group is still assigned. If the Group has not been assigned or has disappeared, reapply the group and Save from the Employee Maintenance screen.

    If the leave group has to be assigned, check the 'Group Entitlement Changes' Edit button to make sure that the Hours Paid This Year field is displaying the correct hours for calculating the Year-To-Date accrual.

  • If there are no Year-To-Date figures appearing in the Annual Leave balances, it may be that the employee's Anniversary Date has rolled to the new Annual Leave year.
    Check the employee's Start Date as this date is normally the employee's Annual Leave Anniversary. On the Anniversary, the Year-To-Date figure is transferred to the Carry Over field automatically.
  • Check the Standard Pay of the employee to confirm that a figure has been entered in the Hours Paid button.

If annual leave didn't accrue in a previous pay

If an accrual was missed in a past pay, such as a One Off Pay, it may have been that the Hours Paid field was not filled in when this pay was processed.

To enter the missing Annual Leave accrual hours, you have two options:

  • Enter the missing accrual into the Carry Over figure found in the Annual Leave Balances screen.

    If using this option, make a note of the changes made to the Annual Leave Balances screen and any other relevant details for the employee.

  • Correct the Hours Paid figures within the Edit History Hours Paid screen, entering in the missing Hours Paid against the relevant pays. Determine the total amount of hours for the current Annual Leave year then enter this figure into the Group Entitlement Changes screen. Select the correct entitlement line then click on the Edit button and adjust the Hours Paid This Year field with the appropriate number of hours.
