Adding additional employee superannuation deductions in EXO Payroll (New Zealand)

Kiwisaver is the default Superannuation scheme used by businesses in New Zealand although employees have the option to contribute to any Superannuation savings scheme that they wish. The setup of this in Exo Payroll is done by using a deduction.

To add a new Employee Superannuation deduction, if one does not already exist, the following steps can assist with this process:

To add a new employee superannuation deduction
  1. Go to the Maintenance menu then select Deductions.
  2. Click on the Add:F4 button.
  3. If a specific Code is to be used, change the code to the desired code. The default code that appears can be used if that is suitable.
  4. Enter a Name for the deduction.
  5. Make sure the Post-Tax Deduction field is ticked.
  6. Select the Calculation Method to be used with this deduction (Fixed Dollar Amount or Percentage of Gross Pay). Note: If the Percentage Rate or Dollar Amount can vary between employees, it is recommended to leave these fields blank so that when the deduction is assigned to each employee the appropriate rate or amount can be assigned.
  7. Select the Type as Employee Super.
  8. If General Ledger is being used then specify the General Ledger Code to be used with this deduction.
  9. The Protected Pay Amount and Protected Pay % can be used if the employee has after-tax deductions which could significantly reduce their net pay. Enter in a minimum amount or percentage that the deduction is not to reduce the pay below when dealing with this deduction. If Exo Payroll determines that this deduction will reduce the pay below the specified amount or percentage then the deduction will make no deduction unless the Make a part deduction option is ticked.
  10. It is recommended that the "Pay deduction by consolidated direct credit" field is not ticked as this will take the deductions from all employees and process them as a single line in the direct credit file. This means that one employee will receive the contributions from the other employees that this deduction is being used for.
  11. Click on Save:F10 to save the deduction.

After the deduction has been created, add it to the employee's Standard Pay under the Deductions button. Enter the Amount or Rate (depending on the deduction setup) along with any Direct Credit details (if required). Once the deduction has been added to the Standard Pay then it will appear in future Current Pays.
