How do I request approval from an employee to work a shift that is outside of their standard hours?

As a manager, you can send a shift request for approval from employee if you want an employee to work a shift that is outside of that employee's Standard Hours.

As a precondition, you will need to tick the option Allow publish outside of standard hours shifts under Work Flows on the Company Settings screen (Management > Settings > Company Settings). This will serve as a basis for the minimum break hours.

  1. Go to the Roster page, and add a shift that is outside of that employee's Standard Hours.
  2. The shift will now be flagged red with an error. Open the shift and see that it now states that this is "Outside of Standard Hours".

  3. To get approval from the employee click Temporarily Vary Standard Hours.
  4. The below screen will appear. Fill in the additional shift, which will then be sent to the employee as a request. You can use the buttons at the top of the window to indicate whether this is an emergency or non-emergency request.

Once the shift request has been sent, a successful the shift will flag as blue which means it is pending.

Upon successfully sending a shift request, the employee will have the option to accept or decline the request.

  • If the employee accepted the request, the shift will be published.
  • If the employee declined the request, the shift will not be published and will appear as Unassigned.
