Time off in lieu

When an employee works extra hours, they can either be paid overtime or they can take the equivalent time off at a later date, depending on your company policy.

Time off in lieu (TOIL) is a type of leave that isn't specifically covered by the Holidays Act 2003. Prior to the Holidays Act 2003, days accrued for working on a public holiday were known as "day in lieu" or "lieu time". But since the implementation of the Holidays Act 2003, they're now known as Alternative Leave.

Setting up time off in lieu

1. Create an entitlement for TOIL

  1. Go to the Entitlements screen (MPPP3300).

  2. On the toolbar, click the Add New Record plus icon :ADV_Plus: .

  3. In the Entitlement ID field, enter TOIL.

  4. In the Description field, enter Time off in Lieu.

  5. Click the Rules tab.

  6. In the Definition section:

    1. From the Trigger Date dropdown, select Employee Start Date.

    2. Select the Units option.

    3. From the Units dropdown, select Hours.

    4. From the At Period End dropdown, select C/Fwd Balance.

    5. In the Full Time Hours Per Year field, enter 2080.

  7. In the Changes section:

    1. Click the Add Row plus icon :ADV_Plus: .

    2. In the Period Duration field, enter 12.

    3. In the Entitlement Unit field, enter 2080.

  8. In the Properties section:

    1. Select the Leave option.

    2. Select the Entitlement may be paid/taken in advance option.

  9. On the toolbar, save the entitlement by clicking the Save icon (

    ).

    When following the procedure for creating the TOIL calculation pay item, you'll come back to this entitlement to edit settings on the Accrued from tab.

2. Create a TOIL taken pay item
  1. Go to the Pay Items screen (MPPP2210).

  2. On the toolbar, click the New Pay Item plus icon :ADV_Plus: .

  3. In the Description field, enter TOIL Taken.

  4. In the Payslip label field, enter TOIL Taken.

  5. In the Type field, enter ENTITLEMENT PAYMENT.

  6. In the Attributes section, in the search field, enter the entitlement you created for time off in lieu.

  7. Click the Calculation Method tab.

  8. From the Method dropdown, select Rated.

  9. Click the Additional Info tab.

  10. In the Analysis section, complete the General Ledger Purpose field.

    The typical practice is to journal the leave accrual (debit the expense, credit the liability account). That way, when leave is paid out, it will debit the liability account instead of the expense account. The termination workflow uses whichever general purpose you choose, it'll be used by the termination workflow 

  11. On the toolbar, save the pay item by clicking the Save icon (

    ).

3. Create a TOIL calculation pay item
  1. Go to the Pay Items screen (MPPP2210).

  2. On the toolbar, click the New Pay Item plus icon :ADV_Plus: .

  3. In the Description field, enter TOIL Calculation.

  4. In the Payslip label field, enter TOIL Calculation.

  5. In the Type field, enter INCOME.

  6. Click the Calculation Method tab.

  7. From the Method dropdown, select Rated.

  8. Click the Additional Info tab.

  9. In the Override Value section:

    1. Select the Standard Pay option.

    2. Select the Current Pay option.

  10. In the Analysis section, complete the General Ledger Purpose field.

  11. On the toolbar, save the pay item by clicking the Save icon (

    ). You can now add this pay item to the time off in lieu entitlement.

To add the TOIL calculation pay item to the TOIL entitlement

  1. Go to the Entitlements screen (MPPP3300).

  2. In the Entitlement ID field, click the magnifying glass icon.

  3. In the Select - Entitlement ID window, select the time off in lieu entitlement.

  4. Click the Accrued from tab.

  5. In the Accrual base items section, click the Add Row icon :ADV_Plus: .

  6. In the new row, add the details of the TOIL Calculation pay item.

  7. On the toolbar, save the entitlement by clicking the Save icon :ADV-Save: .

4. Create a TOIL accrual pay item
  1. Go to the Pay Items screen (MPPP2210).

  2. On the toolbar, click the New Pay Item plus icon :ADV_Plus: .

  3. In the Description field, enter TOIL Accrual.

  4. In the Payslip label field, enter TOIL Accrual.

  5. In the Type field, enter ENTITLEMENT ACCRUAL.

  6. In the Attributes section, in the search field, enter the entitlement you created for time off in lieu.

  7. Click the Calculation Method tab.

  8. From the Accrual Method dropdown, select Accrued Pro rata.

  9. Click the Additional info tab.

  10. In the Analysis section, complete the General Ledger Purpose field.

  11. On the toolbar, save the pay item by clicking the Save icon (

5. Add TOIL pay items to an employee's pay details
  1. Go to the Pay Details screen (MPPP2310).

  2. In the Employee ID field, select an employee who you want to pay time off in lieu.

  3. On the Standard Pay tab, click the Add Row plus icon :ADV_Plus: .

  4. In the new row, in the Pay Item column, select one of the time off in lieu pay items you created.

  5. Repeats steps 3–4 for each pay item.

  6. On the toolbar, save the employee's pay details by clicking the Save icon :ADV-Save: .

Paying time off in lieu

Pay time off in lieu
  1. Go to the Manage Pays screen (MPPP4110).

  2. From the list of pay runs, click the Pay run ID of the one you want to open.

  3. Click the name of the employee you want to pay time off in lieu. The Employee’s Current Pay screen opens.

  4. In the TOIL Calculation row, in the Quantity field, enter the number of hours of time off in lieu that the employee has accumulated.

    To view an employee's entitlement balances, go to the employee's Pay Details screen (MPPP2310) and click the Entitlement Balances tab.

  5. On the toolbar, save the employee's current pay by clicking the Save icon :ADV-Save: .
